how you'll contribute to our company

Responsibilities include the following:

  • Prepares, organizes, and ensures timely and proper delivery of various documents, including correspondences, records of meetings, technical memoranda, discussion papers, contract documents and technical specifications, reports, and proposals
  • Coordinates and makes arrangements for the Division’s activities such as meetings, presentations, lunch-and-learn sessions, and travel
  • Updates Division members' resumes
  • Provides switchboard support
  • Keeps abreast of Division members’ whereabouts and updates Division’s TeamCal record, as well as the Email Distribution Group
  • Organizes Division and Group Managers’ calendars, e-mail, and mail, as required
  • Orientates new hires to Division’s work processes and assists in ensuring integration of the new hires to the Division
  • Implements and coordinates activities that build team spirit within the Division and immersive relations with clients
  • Ensures social news on the Division members are posted in the Intranet accordingly
  • Organizes the Division’s work stations and common work areas; ensures appropriate level of stationery supply and coordinates servicing and maintenance of the Division’s equipment such as photocopiers and printers
  • Performs other duties which may be assigned

what you will bring to the table

You should have the following qualifications:

  • Minimum of 5 years of experience providing administrative support, preferably in an engineering or architectural environment
  • Diploma in Office Administration is an asset
  • Proficiency in MS Office (Word, Excel, Power Point), scheduling software (MS Project), and CorelDRAW! or other desktop publishing software
  • Website maintenance and database management skills are an asset
  • Ability to work in a fast-paced office environment with minimal supervision
  • Superior organizational and time management skills
  • Proven interpersonal skills and a strong team player
  • Strong oral communication skills and technical writing skills
  • Available to work overtime as required or requested
